10.1 Preparing your Printer
======================
Check that
- the printer's power cord is plugged in and that the
printer's power switch is turned on,
- the printer is connected to your computer through
either a serial or parallel port, and
- the proper paper, labels, Rolodex cards are feeding
into your printer.
10.2 Generate Standard Reports in CMS
================================
Most reports in CMS follow a standard step by step
generation sequence as described below. Output may be
viewed on the screen, sent to the printer, or written
out to a file.
To generate a report follow these steps:
A. If you intend to print make sure your printer is
ready:
Check that
- the printer's power cord is plugged in and that the
printer's power switch is turned on,
- the printer is connected to your computer through
either a serial or parallel port, and
- the proper paper or labels are feeding into your
printer.
B. Use your cursor keys to select the desired reports(if
applicable).
C. Press <Enter> and the standard "Choices" output menu
will appear.

1. View Report
If you select viewing then the "View Report"
window will appear.
a) Use your cursor keys to scroll through the
report.
b) Press <Esc> when you are done.
2. Print Report
If you select printing then the report will be
generated and sent directly to the printer.
3. Write Report to a File
If you select writing to a file the "Filename"
window will appear:

a) Type in the filename where to send the report
to, and press <Enter>.
If you do not specify a file extension then CMS
automatically adds the extension "TXT" to your
filename. For example, if you typed in "list" as
the file name, then CMS will save this file as
"LIST.TXT".
If you typed in a filename that already exists, a
message window will appear (in our example we
assume the filename "List"):

b) You can now choose:
1. Press <A> to add the report to the existing
file,
or
2. press <O> to overwrite the existing file
with the new report,
or
3. press <C> to cancel this option, and exit
from this menu choice.
If you choose adding the report will be
appended to the end of the existing file.
If you choose overwriting all the information
previously saved under that filename will be
lost, and a new file with only the new listing
in it will be created.
If you choose "Cancel" you will be returned to
the previous screen.
c) When the report is done you will be returned to
the "Reports Definition Table".
4. Generate Merge File
If you select "Generate Merge File" a file the
"Filename" window will appear:

a) Type in the filename where to send the report
to, and press <Enter>.
If you do not specify a file extension then CMS

as the file name, then CMS will save this file
as "MERGES.TXT".
If you typed in a filename that already exists,
a message window will appear (in our example we
assume the filename "Merges"):
b) You can now choose:

10.3 Viewing Mailing Label(s) in CMS
===============================
Here you find a description of the exact steps to view
label(s) on your screen. These steps are generic to all
label viewing in CMS.
To view mailing label(s) from the "Choices" menu:
A. Select "View Label", and press <Enter>.
The "Label Message" window will appear:

a brief Bible quote, or other message up to 33
characters long, and press <Enter>

or

10.4 Printing Mailing Label(s) in CMS
================================
Here you find a description of the exact steps to print
label(s)s. These steps are generic to all label printing
in CMS.
To print label(s) from the "Choices" menu:
A. Prepare your printer:
Check that
- the printer's power cord is plugged in and that the
printer's power switch is turned on,
- the printer is connected to your computer through
either a serial or parallel port, and
- the proper paper or labels are feeding into your
printer.
B. Select "Print Labels", and press <Enter>.
The "Label Message" window will be displayed:

If this is the first time you print labels with your CMS
program then this is a very good time to make sure your
labels are correctly aligned in the printer.
D. Press <Y> to print a sample label.
If you already know that your printer is set up
correctly and that your labels are correctly aligned
press <N> and the label(s) will be printed
immediately.
If you pressed <Y> a sample label will be printed on
your printer. It will look like this:

E. Inspect the sample label on your printer and make
sure it is aligned correctly and all the address
lines are legible and printed within the label area.

F. If you are not happy with the print results make the
necessary adjustments on your printer and label
paper, and then
Press <Y> at the next screen prompt

Repeat steps D. through F. until you are satisfied with
the print results.
G. Press <N> when prompted for another test.
Your label(s) will now be printed and you will be
returned to the previous screen.
10.5 Write Mailing Label(s) to a File in CMS
=======================================
To write mailing label(s) to a file from the "Choices"
menu:
A. Select "Write Labels to File", and press <Enter>.
The "Filename" window will appear:

If you do not specify a file extension then CMS

10.6 Generate Merge Record(s)
========================
There might come a time when you want to share the
information in CMS with other software packages (e.g.
for word processing, mail merge, statistical reporting).
CMS lets you create "Merge Records" that you can later
import into your other application software. For
technical information on the structure of the merge
record refer to the Appendix 10.6 "Merge Record
Structure - Technical Information".
To generate merge record(s) from the "Choices Menu":
A. Press <G> to select "Generate a Merge Record", and
press <Enter>.
The "Filename" window will appear:

NOTE: If you already saved a filename during this CMS
session CMS remembers it, and will display it
in the "Filename" window.
B. Type in the new filename where you want to store the
merge record(s), and press <Enter>,
or
press <Enter> to confirm the use of the filename
displayed in the "Filename" window.
If you do not specify a file extension then CMS
automatically adds the extension "TXT" to your
filename. For example, if you typed in "Merges"
as the file name, then CMS will save this file as
"MERGES.TXT".
If you typed in a new filename the merge record(s)
for this family will be saved to that file, and you
will be returned to the previous screen.
If you use a filename that already existed a message
window will appear (in our example we assume the
filename "MERGES.TXT"):

This message lets you know that this filename is

C. You now have these three options:
Press <A> to add the merge record for this family to

If you choose this option no merge record(s) will be
created.
D. You will be returned to the previous screen.
10.7 Merge Record Structure - Technical Information
==============================================
Some software packages require you to answer questions
about the structure of the merge record created by CMS.
The following information is provided so you can easily
respond to these questions:
The CMS created merge record is:
- of fixed (field) length,
- each field is embedded in double quotes,
- and comma delimited.
See the example below:

10.8 Change the CMS Directory
========================
The installation program of CMS forces you to install
CMS in the CMSG20 directory on your hard disk. This
will insure that all datafiles from previous CMS
versions will be properly converted, and enhances the
overall security of the CMS system.
However there may be occasions when you may want to
install CMS in another directory than the default
CMSG20.
IMPORTANT: This option is for experienced users only.
It is not recommended, and CMS may not
operate as designed, when moved to a
directory other than the CMSG20 directory.
To change the CMS default directory:
1. Log onto the drive where you want to install CMS.
2. Create the directory where you want CMS to be
installed if it's not already there.
3. Go to the new directory.
4. Copy all files from the old CMS directory to the new
directory.
5. Inform the DOS environment about the new CMS
directory.
SET CMS=<drive><Path>directory
If you want to make this change permanent, you should
include this environment setup in your autoexec.bat
file.
6. You can now invoke CMS.
7. If you are satisfied that all works well you can
delete the CMS files from the old CMS directory.

10.9 Printing Rolodex Cards in CMS
=============================
CMS supports different Rolodex formats. No matter the
format the following steps will be the same.
To print one or more rolodex card:
A. Make sure your printer is ready to print.
Check that
- the printer's power cord is plugged in and that the
printer's power switch is turned on,
- the printer is connected to your computer through
either a serial or parallel port, and
- the Rolodex cards are feeding into your printer.
B. If applicable select the name you want to put on to a
Rolodex card, and press <Enter> to bring up the
"Choices" menu.
C. Select "Print Rolodex Card" from the "Choices" menu,
and press <Enter>.
Now the "Check Alignment" window will appear:

If this is the first time you print Rolodex cards with
your CMS program then this is a very good time to make
sure your Rolodex cards are correctly aligned in the
printer.
D. Press <Y> to print a sample card.
If you already know that your printer is set up
correctly and that your Rolodex cards are correctly
aligned press <N> and the card(s) will be printed
immediately.
